Renter Requirements
To rent a vehicle from ViaMon Rent a Car, the Renter must meet the following requirements:
- Be at least 21 years old.
- Hold a valid driving licence and have at least two years' driving experience.
- Be at least 25 years old when renting an SUV or a 9-seater vehicle (8+1 seats).
- Present a valid identity card or passport, a valid driving licence and a bank card issued in the name of the main driver.
- Renters over the age of 75 may be approved following an individual assessment by ViaMon Rent a Car.
- All documents must be presented in their original form when the vehicle is collected. Photographs, copies and digital versions of documents are not accepted.
- Driving licences issued by countries outside the European Union are accepted in accordance with applicable legislation. Drivers holding licences issued in the USA, Canada or Australia must also present an International Driving Permit (IDP). For other non-EU countries, an International Driving Permit may also be required where applicable under the relevant legal requirements.
- Have a confirmed online booking made through the ViaMon Rent a Car booking platform.
Additional Driver Requirements
An additional driver may be included in the rental agreement provided that they meet the same requirements as the main Renter regarding minimum age, driving experience and possession of valid identity documents and a driving licence. The vehicle may only be driven by persons named in the rental agreement.
Booking Request and Confirmation
To submit a booking request, the Renter selects the rental period, the vehicle collection and return locations, the required vehicle and, where applicable, any additional services, then completes the required details and submits the request through the official ViaMon Rent a Car website.
After submitting the request, the Renter receives an automatically generated email containing information about the requested services. This email is for information only and confirms solely that the request has been received. It does not constitute confirmation of the booking.
Once availability and the ability to fulfil the request have been checked, ViaMon Rent a Car sends written confirmation to the Renter by email or another official communication channel. The booking is considered confirmed only after ViaMon Rent a Car has sent this confirmation.
Before confirming a booking, ViaMon Rent a Car reserves the right to request additional information required to fulfil it, including a flight number, expected arrival time or other details. If the Renter does not cooperate or respond, the company reserves the right not to confirm or to cancel the request.
ViaMon Rent a Car reserves the right to decline a booking request where no vehicle is available, for technical reasons, where the Renter has supplied false or incomplete information, or in other objective circumstances preventing the booking from being fulfilled. In such cases, the Renter will be informed promptly.
What Is Included in the Rental
When renting a vehicle from ViaMon Rent a Car, the rental price includes:
- Unlimited mileage, unless otherwise stated in the booking confirmation.
- A valid road vignette for the territory of the Republic of Bulgaria.
- Basic insurance cover (Third-Party Liability and Comprehensive Motor Insurance) in accordance with the rental agreement.
- Free vehicle collection and return at Sofia Airport.
- One additional driver at no extra charge.
- One child seat or booster seat free of charge (subject to advance request and availability).
- 24/7 roadside assistance in the event of a technical breakdown.
- A replacement vehicle in the event of a technical breakdown, where possible.
- Flight monitoring when a flight number has been provided, to arrange a timely meeting in the event of a delay.
Additional Services and Applicable Fees
For your convenience, ViaMon Rent a Car offers additional services that may be requested when making the booking or before collecting the vehicle. Services are provided subject to advance request and availability.
- One additional driver – no extra charge.
- Child seat or booster seat – no extra charge (subject to advance request and availability).
- Satellite navigation – EUR 2 per day.
- Out-of-hours service (20:00–08:00) – EUR 10 for vehicle collection or return.
- Permission to travel to Greece and Romania (Green Card) – EUR 89 for the entire rental period. This is a one-off fee and allows unlimited border crossings during the rental period.
- Travel to Serbia, North Macedonia and other countries is permitted only with prior written approval from ViaMon Rent a Car, issuance of the required documents and payment of the applicable fees.
- Additional “Tyres and Rims” protection may be added for an additional charge. Further information is available in the “Insurance” section.
- Snow chains are available for an additional charge, subject to advance request and availability.
- Optional “Vehicle Wash” service – EUR 15. When this service is requested, the vehicle may be returned without being washed in advance, and ViaMon Rent a Car will arrange the cleaning.
Payment
The rental price is payable when the vehicle is collected, unless otherwise agreed in writing in advance.
The following payment methods are accepted:
- Cash payment (EUR, GBP, USD).
- Payment by debit or credit card.
If paying by bank card, ViaMon Rent a Car must be informed in advance so that a POS terminal can be made available when the vehicle is handed over.
If an invoice is required, it must be requested at the time of payment or in advance. Invoices are issued within five calendar days of the payment date.
Depending on the rental period, the time remaining before the rental begins, the collection or return location, the vehicle category, the delivery method or other objective circumstances, ViaMon Rent a Car reserves the right to require partial or full prepayment of the rental price as a condition for confirming the booking.
Security Deposit
A security deposit is required when the vehicle is collected and may be pre-authorised only on a debit or credit card issued in the name of the main driver.
The security deposit cannot be paid in cash, irrespective of the method used to pay the rental price.
The amount of the security deposit depends on the vehicle category and is stated during the booking process and in the written confirmation. A security deposit is mandatory for all rentals, including where additional insurance cover has been purchased.
The pre-authorised amount is released within 3 to 10 working days after the vehicle is returned and checked for possible damage, missing items or other outstanding liabilities. The release period depends on the card-issuing bank.
Bank card data is processed solely for the performance of the rental agreement and in accordance with applicable data protection legislation. Where a subsequent payment or deduction from the security deposit is required, only the data supplied through the payment provider is used, in accordance with the applicable rules and legal requirements.
The security deposit may be used to cover costs arising from, including but not limited to:
- Missing fuel or return of the vehicle with a lower fuel level than agreed.
- Unpaid road, parking or administrative fines and charges.
- Damage to the vehicle, interior, equipment or accessories not covered by insurance.
- Missing or damaged keys, documents, equipment or accessories.
- Damage resulting from improper use of the vehicle.
- Smoking in the vehicle.
- Excessive soiling requiring specialist cleaning.
- Driving off-road or on terrain not intended for vehicular traffic.
- Towing another motor vehicle.
- Transporting dangerous, flammable or prohibited goods.
- Driving by an unlicensed or unauthorised driver.
- Driving after consuming alcohol, narcotic drugs or other intoxicating substances.
- Filling the vehicle with the wrong fuel.
- Damage to tyres, rims or the clutch caused by improper use.
- Other breaches of the rental agreement or applicable law.
Before any amount is taken from the security deposit, ViaMon Rent a Car will notify the Renter and give them an opportunity to settle the amount due voluntarily. If the Renter fails to cooperate or cannot be contacted, ViaMon Rent a Car may deduct the relevant amount from the security deposit.
The security deposit is not insurance and does not release the Renter from liability for breaches of the agreement, improper use of the vehicle or events not covered by insurance.
For rentals longer than 40 days, ViaMon Rent a Car reserves the right to require a new authorisation of the security deposit or an additional visit by the Renter to renew the pre-authorised amount.
If the card-issuing bank fails to release the pre-authorised amount promptly, ViaMon Rent a Car is not responsible for the release timescale.
Loyalty Programme
ViaMon Rent a Car offers a loyalty programme for bookings made directly through its official website.
After successfully completed rentals, the Renter becomes eligible for a promotional discount code for a subsequent online booking:
- 3 successfully completed bookings – 3% discount
- 5 successfully completed bookings – 5% discount
- 10 successfully completed bookings – 10% discount (maximum discount under the programme)
Only successfully completed bookings made through the official ViaMon Rent a Car website are eligible for the programme.
To receive a promotional code, the Renter must contact ViaMon Rent a Car. Once the booking history has been checked, an individual promotional code will be issued for use with a subsequent online booking.
ViaMon Rent a Car reserves the right to amend, supplement or discontinue the loyalty programme at any time.
Vehicle Collection and Return
The vehicle is handed over personally to the Renter or to a pre-approved additional driver after all required documents have been presented, the rental price has been paid, the security deposit has been pre-authorised and the rental agreement has been signed. The rental agreement between the parties is considered concluded upon signing the agreement and accepting the vehicle.
When the vehicle is collected, a joint inspection is carried out by a ViaMon Rent a Car representative and the Renter. All existing marks, damage and missing items are recorded in the rental agreement. By signing it, the Renter confirms that the vehicle has been received in the condition described. The Renter must also inspect the vehicle before leaving the collection location. If any discrepancy not recorded in the agreement is identified, the Renter must immediately notify a ViaMon Rent a Car representative before leaving the collection location.
When the vehicle is returned, it is checked for:
- external and internal damage;
- the fuel level;
- the presence of the keys, documents and any additional equipment supplied;
- the vehicle's overall technical and visual condition.
The vehicle must be returned with the same amount of fuel as when it was supplied (Full-to-Full) and in a clean condition.
The Renter may request the “Vehicle Wash” service in advance for the applicable fee. In that case, the vehicle does not need to be washed before return.
Vehicle collection or return outside business hours (20:00–08:00) is available only by prior arrangement and is subject to an out-of-hours fee in accordance with the current price list.
The vehicle is considered returned only after it has been inspected and accepted by a ViaMon Rent a Car representative. Until then, the Renter remains fully responsible for the vehicle.
ViaMon Rent a Car is not responsible for personal belongings left in the vehicle. If forgotten items are found, the company will, where possible, notify the Renter and assist with their return.
Returning the vehicle to a location other than the one agreed in advance is permitted only with prior approval from ViaMon Rent a Car. An additional fee may be charged where applicable, in accordance with the current price list.
Late Return and Failure to Return the Vehicle
No additional fee is charged for a delay of up to 30 minutes, provided that ViaMon Rent a Car has been notified in advance.
For a delay of more than 30 minutes without prior notice and approval from ViaMon Rent a Car, a fee of EUR 15 is charged.
For a delay of more than one hour without prior notice and approval from ViaMon Rent a Car, ViaMon Rent a Car reserves the right to charge the price of one additional rental day in accordance with the current price list.
If the vehicle is not returned by the agreed time without ViaMon Rent a Car's prior written consent, it will be considered unlawfully retained. ViaMon Rent a Car may immediately take all necessary action to protect its rights and legitimate interests, including notifying the competent authorities, and may claim all rental charges, penalties, compensation and expenses due.
For each commenced day after the agreed rental period expires and until the vehicle is actually returned, the rental price under the current tariff will be charged. This does not limit ViaMon Rent a Car's right to seek compensation for all losses suffered and loss of profit.
Booking Changes, Extensions and Cancellations
The Renter may request a change to the rental period, vehicle category or collection and/or return location. All changes are subject to prior approval by ViaMon Rent a Car and vehicle availability. The rental price may change in accordance with the current price list.
To extend the rental period, the Renter must contact ViaMon Rent a Car before the rental agreement expires. An extension is possible only after express confirmation from ViaMon Rent a Car and subject to vehicle availability.
ViaMon Rent a Car reserves the right to refuse a request to change or extend a booking where this is not possible because no vehicle is available or for other objective operational reasons.
Any additional amount due for the extended period is payable by the method agreed in advance between the parties.
A booking may be cancelled without penalty provided that ViaMon Rent a Car is notified at least 24 hours before the rental begins.
A confirmed booking is considered cancelled only after written confirmation of the cancellation has been received from ViaMon Rent a Car.
When a vehicle is collected from Sofia Airport and the Renter has provided a valid flight number, ViaMon Rent a Car monitors the flight status and does not charge additional fees for a flight delay.
If the Renter does not arrive at the agreed time and does not inform ViaMon Rent a Car of a delay, change or cancellation, the company reserves the right to release the vehicle and provide it to another customer.
If the vehicle is retained after the agreed period without prior approval from ViaMon Rent a Car, the company may take all necessary action to protect its rights and legitimate interests, including notifying the competent state authorities.
An extension is not considered confirmed until written confirmation has been received from ViaMon Rent a Car and all amounts due have been settled.
Early Termination of the Rental and Refunds
If the vehicle is returned early at the Renter's request or for a reason not attributable to ViaMon Rent a Car, no refund is provided for the unused portion of the rental period.
An exception applies where the vehicle is returned more than five (5) calendar days before the agreed end of the rental. In this case, ViaMon Rent a Car retains a cancellation charge equal to three (3) days' rental price, and the balance of any prepaid amount for the unused period is refunded to the Renter.
Fees for additional services, one-way rentals, deliveries, return to a different location, additional equipment and other services already provided are non-refundable.
The rental price is calculated for the entire booked period during which the vehicle was reserved and unavailable to other customers.
Insurance
All ViaMon Rent a Car vehicles are supplied with the compulsory insurance included in the rental price, in accordance with applicable Bulgarian legislation and the terms of the relevant insurance policies.
Insurance cover is valid provided that the rental agreement, these Terms and Conditions and applicable law are complied with. In the event of a breach of the agreement, driving by an unauthorised driver, alcohol or drug use, intentional acts, gross negligence or other exclusions set out in the agreement or insurance conditions, the Renter is fully financially liable for the damage caused.
The Renter may request additional “Tyres and Rims” protection, which covers damage to tyres and rims in accordance with the terms of that protection.
Detailed information about the types of insurance cover, liability limits, exclusions and the terms of additional protection products is published in the “Insurance” section of the official ViaMon Rent a Car website and forms an integral part of these Terms and Conditions.
Road Traffic Accident, Technical Breakdown and Theft
In the event of a road traffic accident, technical breakdown, theft, attempted theft, vandalism or any other event resulting in damage to the vehicle or making it unusable, the Renter must:
- immediately notify ViaMon Rent a Car;
- notify the competent authorities (Traffic Police or another competent authority) where required;
- remain at the scene of the incident where required by law or by the competent authorities;
- assist with the preparation of all necessary documents, including a bilateral accident statement, police report or other documents, where applicable;
- take reasonable steps to prevent further damage to the vehicle.
In the event of a technical breakdown not caused by improper use, the Renter must immediately notify ViaMon Rent a Car and follow the instructions provided. The company will arrange the necessary roadside assistance, repair or replacement of the vehicle where possible and necessary.
The Renter may not repair the vehicle or arrange for repairs without ViaMon Rent a Car's prior written or verbal consent, except where this is necessary to prevent an immediate danger to people or property. In that case, the Renter must notify the company at the earliest opportunity.
If a tyre or rim is damaged and the Renter has purchased the additional “Tyres and Rims” protection, the Renter may arrange the repair or replacement. The costs incurred will be reimbursed after a valid proof of payment has been submitted and ViaMon Rent a Car has reviewed the claim, in accordance with the terms of the protection purchased.
In the event of theft or complete disappearance of the vehicle, the Renter must immediately notify ViaMon Rent a Car and the competent authorities and provide all available keys, documents and information required to process the case.
Use of the Vehicle Outside Bulgaria
ViaMon Rent a Car vehicles may be used outside the territory of the Republic of Bulgaria only with prior written approval from ViaMon Rent a Car and subject to the conditions applicable to the relevant country.
Travel to Greece and Romania is permitted after purchasing the “Green Card for Travel Abroad – Greece and Romania” service, which is valid for the entire rental period and allows unlimited border crossings.
Travel to Serbia and North Macedonia is possible only with prior approval from ViaMon Rent a Car, issuance of the required documents and payment of the applicable fee.
Travel to countries not expressly approved by ViaMon Rent a Car is not permitted.
Leaving the territory of the Republic of Bulgaria without prior written permission constitutes a breach of the rental agreement and may result in:
- loss of insurance cover;
- full financial liability of the Renter for all damage caused;
- contractual penalties, additional fees and other costs arising from the breach.
To protect the vehicles, prevent misuse, assist in the event of theft and ensure performance of the rental agreement, ViaMon Rent a Car vehicles may be fitted with location-tracking systems. Data from these systems may be used only where necessary, including where a breach of the rental agreement is suspected, where the vehicle has left the territory of the Republic of Bulgaria without authorisation, in the event of theft or misuse of the vehicle, to establish its location, or in response to a lawful request from a competent state authority.
Fuel
All ViaMon Rent a Car vehicles are supplied with a specified amount of fuel, which is recorded in the rental agreement.
The vehicle must be returned with the same amount of fuel as when it was supplied (Full to Full).
If the vehicle is returned with less fuel than agreed, the Renter must pay twice the value of the missing fuel.
In the event of a dispute about the amount of fuel, the reading on the vehicle's fuel gauge at the time the vehicle is accepted by a ViaMon Rent a Car representative will be decisive.
To avoid differences in the fuel reading caused by the distance travelled after refuelling, ViaMon Rent a Car recommends refuelling close to the return location.
Renter's Obligations
The Renter must not:
- allow the vehicle to be driven by a person not named in the rental agreement;
- drive the vehicle after consuming alcohol, narcotic drugs or other intoxicating substances;
- use the vehicle in races, training sessions, tests or demonstrations;
- use the vehicle for driver training;
- use the vehicle to tow another motor vehicle, trailer or caravan unless this has been approved in advance by ViaMon Rent a Car;
- use the vehicle to transport dangerous, flammable, toxic or prohibited goods;
- use the vehicle to commit a criminal offence or any other unlawful activity;
- use the vehicle off-road or on terrain not intended for passenger vehicles;
- carry out repairs, modifications, dismantling or replacement of parts without ViaMon Rent a Car's prior consent;
- smoke or use electronic cigarettes inside the vehicle;
- transport animals without ViaMon Rent a Car's prior consent;
- use the vehicle in breach of these Terms and Conditions, the rental agreement or applicable law.
The Renter must:
- use the vehicle with due care and in accordance with its intended purpose;
- immediately notify ViaMon Rent a Car of any technical breakdown and stop driving where continuing may cause further damage;
- take proper care of the keys, documents and accessories supplied;
- comply with the laws and traffic regulations of the country in which the vehicle is being used;
- not leave the keys, documents or vehicle without taking the necessary security precautions.
Failure to comply with these obligations may result in loss of insurance cover, full financial liability of the Renter, deductions from the security deposit and penalties under the rental agreement, these Terms and Conditions and applicable law.
Personal Data Protection
ViaMon Rent a Car processes its customers' personal data in accordance with Regulation (EU) 2016/679 (GDPR), the Bulgarian Personal Data Protection Act and applicable Bulgarian legislation.
Detailed information on the processing, storage and protection of personal data, as well as the rights of data subjects, is set out in the Privacy Policy published on the official ViaMon Rent a Car website, which forms an integral part of these Terms and Conditions.
By signing the rental agreement, the Renter confirms that they have read, understood and accepted these Terms and Conditions and agree to comply with them.
ViaMon Rent a Car reserves the right to amend these Terms and Conditions at any time. Amendments do not affect rental agreements already concluded, except where required by applicable law or expressly agreed between the parties.
